Introduction

VonnX ("VonnX," "we," "us," or "our") is committed to protecting the privacy of providers, clinics, claims professionals, and patients who interact with our platform and services. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website, dashboard, or related services (collectively, the "Services"), you agree to the practices described below.
02

Information We Collect

We collect information you provide directly — such as your name, email address, clinic affiliation, role, phone number, and account credentials — along with information generated through your use of the Services, including device orders, prescription details, claim identifiers, and audit-log activity. We also collect limited technical information (IP address, browser type, device identifiers, and pages viewed) for security, analytics, and service improvement.
03

Protected Health Information

VonnX may receive Protected Health Information ("PHI") under the U.S. Health Insurance Portability and Accountability Act (HIPAA) in the course of facilitating durable medical equipment fulfillment for Workers' Compensation and Personal Injury cases. We handle PHI in accordance with HIPAA, applicable Business Associate Agreements ("BAAs"), and our internal safeguards. PHI is used solely for treatment, payment, and healthcare operations or as otherwise permitted by law.
04

How We Use Information

  • To provide, operate, and maintain the Services.
  • To process device orders, authorizations, deliveries, and follow-ups.
  • To communicate with you about your account, orders, and updates.
  • To detect, prevent, and respond to fraud, abuse, or security incidents.
  • To comply with legal, regulatory, and contractual obligations.
  • To improve the Services through analytics and product research.
05

How We Share Information

We share information only as needed to deliver the Services: with device manufacturers and shipping partners to fulfill orders; with payers, case managers, and attorneys involved in a case; with vetted subprocessors that host, secure, or support our infrastructure; and when required by law, subpoena, or other valid legal process. We do not sell personal information.
06

Data Security

We use administrative, physical, and technical safeguards designed to protect your information — including encryption in transit and at rest, role-based access control, audit logging, login lockout, and regular security review. No system is perfectly secure; if we become aware of a breach affecting your information, we will notify you in accordance with applicable law.
07

Data Retention

We retain information for as long as your account is active and for the period required to meet our legal, regulatory, and operational obligations — including medical record retention rules, claim documentation requirements, and audit-log preservation.
08

Your Choices and Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict use of your personal information, and to receive a copy in a portable format. You may also object to certain processing or withdraw consent. To exercise these rights, contact us using the details below. We will respond within the time frames required by applicable law.
09

Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember preferences, and measure aggregate usage. You can control cookies through your browser settings; disabling them may affect parts of the Services.
10

Children's Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with information, please contact us so we can remove it.
11

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date below and, where appropriate, provide additional notice. Your continued use of the Services after an update constitutes acceptance of the revised policy.
